How to enter your branch details
Introduction
This manual will walk you through how to enter the basic details of your locations.
How to enter your branch details
Firstly,
- log into RetailStore/ CharityStore with your Username* & Password*.
- Click into the Admin Menu
- Scroll down to the Locations section, and select Location Management.
The Location List will display. If this is your first visit to this page, then you should only see the name of your location/ branch here.
Next to your location,
- Click the Edit button.
The Edit Location page is displayed:
All fields that are mandatory appear with an asterisks* next to them and therefore have to be completed before changes on the page can be made.
Below is a breakdown of what each of the fields are and what they represent:
| Field Name | Explanation |

| Area * | Type the area in which this shop is based. It can be as broad as “North West”, “NW” or as specific as “Merseyside”, “Liverpool” as you wish. Note: Don’t worry too much about what you enter here; it’s only used in a couple of very specialised reports which might not even be relevant to your use of the system. |
| Name * | Enter the name of this location here. This will be the name used in Cybertill’s back office. i.e. when you run sales and stock reports, this branch will be referred to by whatever name you enter here. |
| Trading in Country | This is the country you trade in and cannot be edited. |
| Active |
Is this location active (i.e. are you using it)? If so, ensure this box is ticked. In future, if you close a store, you should come back to this screen and untick this box. |
| Type * |
Choose which ‘type’ best describes this location from the list:

| Company Name | Whatever you enter in here will appear at the top of any till receipts produced in this branch/ location, so will therefore be visible to customers. |
| VAT Number | Does this location have a unique VAT number (i.e. a different VAT number than your other branches)? If so, enter it here. If your location uses your company’s standing VAT Number, leave this box blank as you it will be entered via your Default Settings. |
| Company Reg | If you want to you can enter the company registration number here. |
| If this location has an email address, enter it here. | |
| Manager | If this location has a manager, enter their name here. |
| Assistant Manager | If this location has an assistant manager, enter their name here. |
| Ref |
If you have an abbreviated reference code for this branch/location, enter it here. This field is only referred to in a couple of specialised reports, so can be left blank. |

Physical Stock Location |
Would you like this location to have its own stock levels? Or, would you like it to share the stock levels of another location instead? Example: when you sell an item in Store A, would you like the system to subtract 1 from stock in Store B? If you want this location to have its own stock levels, leave this field set to “This is not a virtual location (default)”. This is by far the most common choice here. If not, choose the branch you want this location to share with (i.e. pull stock from). |
| Location Brand | If you have different ‘brands’ of branch/location, choose the relevant ‘brand’ here. The majority of retailers should skip this option. |
| Location Group | If you’re using Location Groups, choose the group you want this location to belong to here. If you’re not using Location Groups, leave this box blank. |

Alternative Processing Number |
This field is to do with controlling the ‘order number’ of any Purchase Orders raised for this branch. Users are recommended to leave this alone for now. |
| Mail Order Returns |
Do you send items out to customers from this store? If so, when a customer receives an item sent from this branch that turns out to be faulty, should they return it to:
If (a), choose Branch. If (b), choose Default. You specify your ‘default’ returns address in Admin > Default Settings, see the ‘Default Settings User Manual’ for more info. |
| Timezone |
Choose the time zone that this location is based in. The default is Europe/London, so UK-based retailers won’t need to change this. |
| Brand Type | If you have set up different brands of branch on your system, choose here whether this location does not belong to any brand, partially belongs to a brand, or fully belongs to a brand. (The majority of retailers should skip this option.) |
| Clockout time | If you set this time to 18:00, for example, then at 6pm, any members of staff who have not yet clocked out will be clocked out automatically. This option is only relevant for retailers who wish to record staff working hours in Cybertill. |
| Receipt Text | Whatever you type in here will appear at the bottom of every till receipt produced in this branch. Common messages include “Thank you for shopping”, “Please visit our website at…” and the store returns policy. |
| Key holders | If you wish, you can record the names of all members of staff who have a key for this location here. |
| Dimension | This field is for recording the size of this location. |
| Min Discount off RRP | Minimum Discount off RRP for each location which allows retailers with certain lease agreements (e.g. in designer outlet villages) to ensure items are sold at prices which meet the minimum discount from any RRP prices. To use this feature ensure set the percentage in the Edit Location page and when you set prices in the Edit Product Option page or the Edit Price Changes page the system will provide a warning if your prices do not meet that rule set (although you can override that warning and use the prices you have entered). The system will not check any items which have no RRP Price set. This check does not apply if price data is changed using Data Import Manager. |
| List Order | Should you wish to, you can specify a ‘list order number’ for your location here. If you specify such numbers for all of your branches, then throughout Cybertill’s various screens, branch number 1 will usually be shown first, branch 2 second, and so on. |

Once you’ve filled in your details,
- click the Save button at the bottom of the page.
If all’s gone well, you should get a “success” message at the top:
Next steps
Now your branch/location details are in place, your next task should be to enter all of your staff’s details in Cybertill, and let the system know what each member of staff is and is not allowed to do.
